Privacy Policy

This policy describes how Pickspace collects, uses, and protects personal data across our property management software, AI features, CRM, chatbot, payments, mobile applications, and integrations.

1. Overview

Pickspace Ltd. ("Pickspace", "we", "us", or "our") provides property management software, AI-powered workflows, a chatbot assistant, CRM and lead-management tools, payment facilitation, mobile applications, and related services (collectively, the "Platform"). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the rights you have over your data.

By using the Platform, you acknowledge the practices described here. If you do not agree, please do not use the Platform.

2. Information We Collect

We collect personal information in three primary ways:

  • Directly from you — when you register, create property listings, configure tenants and leases, submit a demo request or contact form, communicate with us, make payments, or interact with our chatbot.
  • From your organization — when an account administrator invites you, assigns you to a property, or grants you access to records.
  • From third parties — such as payment processors, accounting integrations, CRM connectors, single sign-on providers, and analytics or marketing partners you have authorized.

3. Information Collected Automatically

When you visit our websites or use our mobile apps we collect technical telemetry such as device type, operating system, browser, language, referrer, pages visited, feature interactions, error events, and approximate session timing. This data is used to operate, secure, and improve the Platform.

4. IP Address & Geolocation Data

We collect your IP address when you visit our websites, submit forms, or use the Platform. From the IP address we derive non-precise location information (typically city, region, and country) using providers such as ip-api.com. We use this geolocation data to route demo requests to the appropriate regional team, qualify leads, surface localized content, prevent abuse, and for internal business analysis. We do not use GPS-level precise location unless you explicitly grant permission from a mobile app.

5. Cookies & Tracking Technologies

We use cookies, local storage, pixels, and similar technologies to keep you signed in, remember preferences, measure performance, and understand how the Platform is used. Cookies fall into categories including strictly necessary, functional, analytics, and marketing.

You can control non-essential cookies through your browser settings or any consent banner we present. Disabling cookies may affect certain Platform features.

6. Analytics & Marketing Technologies

We use analytics and marketing tools (which may include Google Analytics, Google Tag Manager, Meta Pixel, LinkedIn Insight, and similar) to understand traffic patterns, measure campaign effectiveness, and improve conversion flows. These tools may set their own cookies and process limited personal data subject to their own privacy policies.

7. AI Features & Automation

Pickspace provides AI-powered features including lease abstraction, document classification, summarization, forecasting, automated recommendations, and operational suggestions. To deliver these features we may process inputs you submit (such as documents, messages, or queries) and corresponding outputs through trusted AI providers under contractual safeguards that prohibit them from using your content to train their public foundation models.

AI outputs are assistive tools only. You are responsible for reviewing and validating any business decision informed by AI output. See our Terms of Service for the full AI disclaimer.

8. Chatbot Interactions

When you interact with the Pickspace chatbot we process the contents of your messages, basic session metadata, and abuse-prevention signals (such as rate-limiting counters and spam heuristics). Chatbot conversations may be retained for quality review, debugging, and continuous improvement, and may be shared with our authorized AI provider for the sole purpose of generating responses.

9. Payment Processing

Pickspace acts as a payment facilitator and integrates with regulated payment providers such as Stripe and Worldpay. When you submit a payment, your card or bank account information is captured directly by the payment provider and represented to Pickspace as a tokenized reference. Raw card numbers and bank credentials are not stored on Pickspace systems. Payment processing is handled in alignment with PCI-DSS requirements applicable to facilitators.

10. CRM & Lead Management

When you submit a demo request, contact form, partner inquiry, or newsletter subscription, we store your contact details, the content of your inquiry, source attribution, and engagement history in our CRM to respond, qualify the lead, and provide relevant follow-up. We may also enrich lead records with publicly available business information.

11. Mobile Applications

Our mobile applications collect data necessary to deliver in-app functionality, including authentication tokens, device identifiers, push-notification tokens, crash diagnostics, and — only with your explicit permission — camera, photo library, location, or contacts access for specific features. You can revoke these permissions at any time through your device settings.

12. Third-Party Integrations

You may connect Pickspace to third-party services such as accounting systems, payment providers, communication platforms, analytics tools, calendars, and identity providers. When you authorize an integration, we exchange the data required for that integration to function. The third party's use of your data is governed by its own privacy policy.

13. Data Retention

We retain personal data only as long as needed to provide the Platform, comply with legal obligations, resolve disputes, and enforce our agreements. Account data is retained for the life of the account plus a reasonable archival period. Transaction records are retained for the period required by applicable tax and financial regulations. You may request deletion as described under "User Rights".

14. Security Measures

We use security best practices including TLS in transit, AES-256-class encryption at rest, scoped role-based access controls, audit logging, rate limiting, spam prevention, AI-abuse protections, and segregated environments. See our Security & Data Protection page for details. No internet-facing system is 100% secure; we continuously work to improve our posture.

15. International Transfers

Pickspace serves customers worldwide. Your data may be processed in countries other than the one in which you reside, including the United States, the European Union, and Israel. Where required, we rely on appropriate transfer mechanisms (such as Standard Contractual Clauses) to safeguard cross-border transfers.

16. GDPR Rights (EEA, UK & Switzerland)

If you are located in the European Economic Area, the United Kingdom, or Switzerland you have the following rights with respect to your personal data:

  • Right of access
  • Right to rectification
  • Right to erasure ("right to be forgotten")
  • Right to restrict processing
  • Right to data portability
  • Right to object to processing
  • Right not to be subject to solely automated decisions
  • Right to lodge a complaint with a supervisory authority

17. CCPA Rights (California Residents)

If you are a California resident you have the right to know what personal information we collect about you, the right to request deletion, the right to correct inaccurate personal information, the right to opt-out of the sale or sharing of personal information, and the right not to be discriminated against for exercising your rights. Pickspace does not "sell" personal information as commonly understood.

18. User Rights

You may access, update, or delete your account information at any time from your account settings, or by contacting us. We will respond to verifiable rights requests within the time period required by applicable law.

19. Children's Privacy

Pickspace is not directed to children under 13 (or the equivalent age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.

20. Changes to the Policy

We may update this Privacy Policy from time to time. When we make material changes we will update the effective date above and, where appropriate, provide additional notice (for example through an in-app banner or email). Continued use of the Platform after changes take effect constitutes acceptance of the updated policy.

This Privacy Policy is provided for informational purposes and does not modify any separate agreement you have with Pickspace.
